Administrative Assistant We are looking for an administrative assistant to provide support for the Pastor, Congregationa and staff.
The ideal candidate will have a positive attitude, be able to keep strict confidentiality, be detail oriented, and able to work independently.
Requirements:
A minimum of 3 to 5 years of administrative experience.
Superior communication skills:
verbally and in writing (including good proofreading skills).
Advanced level proficiency with a personal computer and ability to learn other systems as required.
Able to act as the representative of the church when various situations arise.
Deal with others courteously and professionally, even in difficult situations.
Able to balance many, and sometimes conflicting, priorities.
Keep deadlines straight and manage workload.
Maintain confidentiality and judge situations that require discretion and act confidentially even when not specifically directed.
Answer telephones, handle inquiries, including handling of sensitive calls.
Resource to Ministries, Council, Pastor, Committees and other groups in the Church who use the Church facilities.
Serve as the Pastor's contact for the staff and Congregation when he is not immediately available for consultation.
Work directly with the Personnel Committee, Church Council and Staff.
Duties include but are not limited to:
1.
Perform secretarial services, such as advanced level proficiency with a personal computer, Microsoft Office (Word, PowerPoint), Desktop Publishing and video/picture editing etc.
and the ability to learn other systems as required.
2.
Prepare reports and receive calls and visitors during church office hours.
3.
Compile and prepare newsletter and worship bulletins, as necessary.
4.
Maintain an accurate Procedures Manual for all duties as well as maintain orderly and confidential files.
5.
Update and maintain accurate mailing and membership lists.
6.
Coordinate and maintain the Church Calendar, online calendar and any system that needs updating when changes are made and coordinate calendar for all meetings and building use.
7.
Gather and disseminate incoming mail and dispatch outgoing mail including bulk mailings.
8.
Coordinate ordering and inventory of office supplies and other supplies as directed.
9.
Maintain, update and replace office equipment in cooperation with Trustees.
10.
Assist ministries and committees with copying and distribution of materials, including compiling and editing Annual Church Report and preparation of annual budget as directed by the Ministry of Church Finance.
11.
Write Purchase Orders and disseminate checks, as directed by the Ministry of Finance.
12.
Keep work room and office organized and presentable along with other common areas of the Church.
13.
Maintain bulletin boards with events and minutes and other items as directed by the Church Council, Ministries and Pastor.
14.
Assist in the maintenance of the Church Website, Facebook Page, and other web presences as directed by the Pastor, Officers and Ministry Chairs.
15.
Consult Pastor when additional guidance is needed.
16.
Perform other duties and responsibilities as may be requested by the Pastor or Church Council.
Terms of
Responsibilities:
The Church Administrative Assistant is a part-time position, Monday through Friday, 9:
00 AM to 2:
00 PM.
On Wednesday, there is a Staff Meeting at the church from 6:
00 PM to 7:
00 PM (negotiable).

The check will bounce and the victim is left responsible.
